Directions to Central Receiving
- When traveling south on 12th Street (Hwy 641)
- Turn right on Chestnut Street
- Go one tenth (.10) of a mile
- Turn right on Gilbert Graves Drive (If you go under the pedestrian bridge you have gone too far)
- Then make an immediate right to the loading dock
Central Receiving is on the corner of Chestnut and Gilbert Graves Drive in the back of the Hogancamp General Services Building, and receives goods delivered to Murray State University.
Delivery directly to Central Receiving:
Receipt and Transmittal Form (R&T)
- A Receipt and Transmittal Form is signed by the MSU department at the time of delivery to verify delivery.
- If technical expertise is needed, an Inspection Report Form will be left with the person receiving the goods. The inspection should be conducted within three (3) to five (5) business days of delivery.
- After inspection, the Inspection Report Form should be signed, dated, and returned to Central Receiving within three (3) to five (5) business days.
Delivery directly to MSU department:
Departmental Receiving Record (DRR)
Direct shipments are orders where goods are sent directly to the MSU department, bypassing Central Receiving.
- Procurement Services must know when goods and service(s) purchased on a purchase order are delivered directly to the MSU Department.
- The MSU department should email the Buyer and request a DRR form.
- The DRR will be sent to the MSU department for signature. The FOAPAL manager or Proxy is required to sign the form before Procurement Services can pay the vendor for the goods/service(s) performed.
- If Procurement Services is not notified of direct delivery to the department, this causes payment to the vendor to be delayed.
NOTE: The terms of the purchase order require vendors to ship goods to Central Receiving unless otherwise noted by special instructions.
C.O.D. Orders
Murray State University is not set up to process cash on delivery (C.O.D.) orders.
Damaged Goods
There are two types of damaged goods:
- Visible damage
Visible damage can be seen as soon as the goods are unloaded from the truck. Visibly damaged goods will be noted on the freight bill witnessed by the freight carrier and the department will be notified. The damage claim will be filed by either Central Receiving or the freight carrier.
- Concealed damage
Concealed damage is damage that cannot be seen until the goods are unpacked. Concealed damage will only be discovered when containers are opened.
Goods shipped directly to the MSU department, must be opened and inspected within three (3) business days of delivery. If damage is found, contact Central Receiving immediately at 270-809-6986 to begin the claim process. The department should save all packing materials for inspection.
United Parcel Service (UPS)
- UPS delivers daily to Central Receiving. Packages are logged and delivered to the MSU department by Central Receiving.
- MSU departments can ship packages via UPS. The package must be wrapped securely, less than one hundred fifty (150) pounds, a combined length and width of less than 130 inches, and have a complete delivery address.
- Insurance is available with UPS. It is the department’s responsibility to add insurance.
- MSU Departments can bring packages to Central Receiving. Leave the package with instructions in the building mail room. If the package is very large, call Central Receiving at 270-809-5733 to schedule a pick up.
