Voice Mail Guide

Once your voice mail has been activated by the Telecommunications Office and you have set up your account, you may use the following power features. If you do not have voice mail but want an account activated, fill out the Voice Mail Request Form below, or call 4400 to request a form be sent to you.

The instructions will not work until a voice mail account has been activated through the Telecommunications Office. Call 4400 for details. The instructions must be followed completely or your voice mail will not work correctly. If you have any questions, please call the Telecommunications Office at 4400.


Getting Started

Before using your voice mail, you must setup your subscriber mailbox.  To do this, you must change your security code, record your name, and record a personal greeting.   Refer to Voice Mail Setup Instructions for the instructions you will need to set up your subscriber mailbox.

The first time you access your voice mail, your security code will be set to all zeros (0000).  A security code can be any number of digits from 4 digits to 15 digits.   Be sure to set a new security code immediately.  To ensure a high level of security, some recommends changing your security code at least once a month.  Use your own judgment when deciding how often to change your security code.

It is also important to record your name and a personal greeting for your mailbox.   That way, callers will hear your voice and know that they have reached the correct mailbox.  You can also customize your greeting to meet all of your needs, telling callers if you are out of the office and when you will return.

Listening to Messages

Each time you access your mailbox, the voice mail system tell you how many new and saved messages you have.  You have several options to choose from when listening to your messages.

Tips for Listening to Messages

Keep these tips in mind when listening to your messages:

  1. Access your subscriber mailbox.
  2. Press 1 to listen to new messages or 5 to listen to saved messages. 
  3. Then you may use the functions listed below.

Start/Stop/Resume.  To pause while listening to a message, use this key.  Press 1 again to resume listening. 1
Forward the message.  After pressing 2, follow the instruction to record an introduction and forward the introduction and message to another subscriber. 2
Back up 5 seconds.  This key acts as a rewind if you need a portion of the message repeated. 3
Discard.  If you do not need to save the message for future reference, press 4 to discard it.  The voice mail system may ask you to confirm this action. 4
Save.  To save a message for future reference, press 5. 5
Review.  Press 6 to start the message over and listen to it from the beginning. 6
Skip.  Press 7 to skip to the next message without taking any action on the current message. 7
Reply.  To reply to a message, press 8 while listening to it.  The voice mail system gives you further instructions on how to send a reply. 8
Advance 5 seconds.  To quickly access information contained later in a message, press 9 to advance through the message in five second increments. 9
Information.  Press 0 at any time while listening to a message for information on the sender and the date and time it was sent. 0
Help.  Press this key at any time to review all of the options available to you with this function. #
Exit/Cancel.  Press this key once to quit this function.  Press this key several times to exit the voice mail system. *

  • Press 1 to specify future delivery of the message.
  • Press 2 to set urgent status.
  • Press 3 to restrict message forwarding.

Directory. If you do not know a subscriber's mailbox number, use this key to access the subscriber directory. #
Exit/Cancel. Press this key once to cancel this function.  Press this key several times to exit the voice mail system. *

As a subscriber, you have many controls over the way your mailbox works.  Listed below are all of the features you can control for your mailbox.

Personal Options

  1. Access your subscriber mailbox.
  2. Press 3 to access phone manager.
  3. Press 1 to access personal options.

Change Immediate Message Notification.  The voice mail system asks you to specify the type of message you wish to be notified of.  You can also edit you personal call list, which tells the voice mail system at which telephone or pager numbers you wish to be notified, how many minutes to wait between unsuccessful attempts, and how many attempts should be made to notify you or your new messages.   Please see call Telecommunications at 6801 for more information. 1
Change Daily Message Reminder.  The voice mail system tells you if Daily Message Reminder is on of off.  When you turn on Daily Message Reminder, the voice mail system asks you for the time of day you wish to be notified and the telephone or pager number at which to notify you. 2
Record a Personal Greeting. If a greeting is recorded for your mailbox, the voice mail system plays the recording and then gives you an opportunity to change it.  If you will be out of the office for a period of time, you may want to change your personal greeting to let callers know that you are out of the office and when you will return. 3
Change Your Security Code. Enter a new security code followed by the pound sign.  The voice mail system replays your new security code and asks for confirmation. 4
Record Your Name. If a name is currently recorded for your mailbox, the voice mail system plays it for you, then gives you an opportunity to change it.  5
Record an Announcement for a Mailbox you Sponsor.   This function is similar to recording a personal greeting for your mailbox.   Call the Telecommunications Office at 6801 for more information. 6

Check unacknowledged messages.  You can check all unacknowledged messages or messages to a specific mailbox.  If you choose a specific mailbox, the voice mail system asks you for the mailbox number.  If you choose to check all unacknowledged messages, the voice mail system plays the messages and gives you an opportunity to hear who the message was sent to and the date and time it was sent. 1
Record a Name for a Mailbox that you Sponsor.  This function is similar to recording a name for your mailbox.  Contact the Telecommunications Office at 6801 for more information.  2

Automated Attendant Options

  1. Access your subscriber mailbox.
  2. Press 3 to access the phone manager.
  3. Press 3 to access the automated attendant options.

The voice mail system guides you through all of these procedures so follow the voice instructions carefully.  All of these features require the Automated Attendant module.

Change Call Screening.  After pressing 1, the voice mail system tells you if Call Screening is on or off.  Press 1 again to change the status of the feature.  The 1 key acts as a toggle to turn Call Screening on and off. 1
